What we hold, and who sees it

Last updated 18 August 2026. Written to be read, not to be survived.

The short version

Your books are yours. We store them so the product works, we do not sell them, and we do not show them to anyone outside the company you share them with.

One thing genuinely leaves our systems: when you ask us to read a document or answer a question, the text goes to an AI provider to be read. That is the part worth knowing, so it is stated first rather than last.

What we store

Your account
Your name and email address, and a password stored only as a scrypt hash — we cannot read it back. Guests get an account with no email at all.
Your books
The businesses you create, their chart of accounts, and every journal entry posted. The ledger is append-only: entries are never edited or deleted, and a correction is a new opposite entry recorded beside the original.
Documents you upload
The photograph or text of each bill, and the transcript taken from it. The image is kept beside its transcript so you can check the reading yourself.
Questions you ask
The conversation with your books, kept so the assistant has memory across turns. You can clear it at any time from the Ask screen.
Sessions and usage counts
Which devices are signed in, and how many AI calls your plan has used. We do not run advertising trackers or third-party analytics.

Where it lives

A Postgres database hosted by Neon, in Singapore
Everything above is stored there.
The application runs on Vercel
Served from Singapore, near the database.

Who else sees it

Three companies process data on our behalf. Nobody else receives it.

Google (Gemini), or OpenAI
When you read a document or ask a question, that text — and, for a photograph, the image — is sent to be read. This is the only data that leaves our own infrastructure. If you add your own API key in Settings, those calls run on your provider account instead of ours.
Neon
Database hosting.
Vercel
Application hosting.

What we never do

We do not sell your data, to anyone, ever.
We do not use your books to advertise to you.
We do not read your books ourselves except when you ask us for support and we need to.

Keeping and deleting

We keep your books for as long as your account exists, because that is the point of them — accounting records are meant to be durable, and many jurisdictions require them to be kept for years.

Guest accounts that never create a company are removed automatically after a week. A guest account that does hold books keeps them until you delete them.

To get a copy of everything, use the Excel and CSV exports on the Reports screen — they contain your full ledger. To have your account and its books deleted, write to us and we will do it.

Cookies

One cookie, certa_session, which keeps you signed in for 30 days. It is strictly necessary for the product to function, carries no advertising identifier, and is the reason you are not asked to accept anything on arrival. There are no tracking or advertising cookies.

Getting in touch

AccountAssist is a product of Creta, based in Kathmandu, Nepal. For anything about your data — a copy, a correction, a deletion — write to webuilder.co@gmail.com and a person will answer.

If we change this policy in a way that affects what leaves our systems, we will say so here and date it.
